First Safety (firstsafety.online) is part of the SafetyFirst Group, alongside our flagship site safetyfirstlondon.co.uk. We provide HACCP, food, fire and health safety compliance, training and a digital compliance platform for hospitality and food businesses in the UK and internationally. This policy applies to firstsafety.online. Our registered address is 7 Spring Walk, London, E1 5JA.

2. What information we collect

We collect information in the following ways:

• Quote and enrolment forms: name, email address, phone number, business/venue name, venue type, number of learners, and details of the training, audits or platform services you're enquiring about.
• Course & certification records: where you enrol on a course, we (or our SafetyFirst Group training partner) keep a record of course completion, results and certificates issued, as required for compliance and audit purposes.
• WhatsApp enquiries: your phone number and message content, as shared directly through WhatsApp.
• Browsing information: standard technical data such as IP address, browser type and pages visited, collected automatically by our hosting infrastructure.
• Cookies: a small amount of essential data to remember your cookie consent choice — see section 6.

3. How we use your information

We use the information we collect to:

• Respond to enquiries and provide the quotes and estimates you request
• Deliver, manage and support training, audits and platform services
• Issue, track and verify course certificates and compliance records
• Send you information about your enrolment or ongoing compliance work
• Improve our website and services
• Meet our legal, regulatory and accounting obligations

We do not sell your personal information to third parties.

4. Our legal basis for processing

Under UK GDPR, we rely on the following legal bases: your consent (for example, submitting a quote or enrolment request), the performance of a contract with you once you engage our services, and our legitimate interests in running and improving our business, which we balance against your rights. Where we process health, safety or hygiene compliance records on your behalf, this is done under contract to help you meet your own legal obligations as a food business.

5. Third parties we use

We use a small number of trusted third-party services to run this website and deliver our services. Each processes data under its own privacy policy:

• FormSubmit — processes and delivers quote and enquiry form submissions to our team.
• The SafetyFirst Hub — our course enrolment and client portal platform, operated by the SafetyFirst Group, used to deliver training, issue certificates and store compliance records.
• Google Fonts & Google Maps — used to display typography and our office location; loading these may involve a request to Google's servers.
• WhatsApp (Meta) — used for direct messaging if you choose to contact us that way.
• Lucide — an open-source icon library loaded from a content delivery network.
• Accrediting and awarding bodies (such as Highfield, City & Guilds and ROSPA) where a course or certificate you complete requires it.
• Our website hosting provider, which stores the site files and standard access logs.

6. Cookies

This website currently uses one essential cookie, which simply remembers that you've seen and accepted our cookie notice, so we don't show it to you again. It does not track you across other websites and is not used for advertising.

If we introduce analytics or marketing cookies in future, we will update this policy and our cookie banner accordingly, and ask for your consent where required.

7. How long we keep your data

We keep enquiry and quote information for as long as reasonably necessary to respond to you and deliver any agreed services. Course completion records and certificates are retained for as long as required to evidence compliance — often several years — reflecting the fact that food safety and fire safety certification may need to be produced during an inspection or audit long after the course was completed.

8. Your rights

Under UK GDPR, you have the right to:

• Access the personal information we hold about you
• Ask us to correct inaccurate information
• Ask us to delete your information, where applicable
• Restrict or object to how we use your information
• Request a copy of your information in a portable format
• Complain to the UK Information Commissioner's Office (ICO) at ico.org.uk

Note that we may not always be able to delete course completion or certification records where we (or your employer) have a legal obligation to retain evidence of training. To exercise any of these rights, contact us using the details in section 11.

9. Children's privacy

Our services are intended for businesses and individuals aged 18 and over. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or for legal reasons. The "last updated" date at the top of this page will always show when it was last revised.
